Clinical Trial Patient Travel — Specialty Medical Equipment Coordination

A clinical trial participant requiring supplemental oxygen was able to travel commercially through coordinated equipment, airline approvals, and end-to-end logistics.

Context

A clinical trial participant needed to fly to a study site while using supplemental oxygen.

The patient was cleared for commercial travel, but the trip required an airline-approved portable oxygen concentrator and supporting medical documentation.

Challenge

Airlines have specific requirements for passengers traveling with supplemental oxygen and portable oxygen concentrators.

The participant’s physician had to document the required oxygen settings; the equipment had to meet airline specifications; the participant needed enough battery capacity for the journey; and all documentation and equipment had to be in place before departure.

The process also needed to remain simple for the participant.

Solution

Tripsmarter coordinated the participant’s travel requirements with the study team, physician, airline, and medical equipment provider.

After the physician completed the required medical documentation, we arranged an airline-approved portable oxygen concentrator and confirmed the equipment specifications, battery requirements, airline documentation, and delivery timing in advance.

The concentrator was shipped directly to the participant’s home before departure, allowing time to receive it and become familiar with the equipment before traveling.

We then coordinated the participant’s overall itinerary around those requirements and, after the trip, arranged prepaid return shipping so the equipment could be returned to the provider with minimal effort for the participant.

Impact

The participant completed the required study travel with prescribed oxygen support in place throughout the journey.

Equipment rental, shipping, and related logistics were managed within the clinical trial travel program, reducing the burden on both the participant and study team.
